The Remote Office Assistant will play a crucial role in our daily operations. This position requires a highly organized individual with strong administrative skills and the ability to manage multiple tasks efficiently. You will work closely with our leadership team to support key business functions such as vendor communication, bookkeeping coordination, project tracking, and administrative duties.


Key Responsibilities

  • Manage and oversee administrative operations to ensure efficiency and organization.
  • Assist in tracking subcontractor bids, following up on quotes, and ensuring timely responses.
  • Coordinate with our bookkeeper to manage accounts payable/receivable, financial tracking, and job costing.
  • Monitor project expenses, organize receipts, and assist in job costing efforts.
  • Communicate with vendors and suppliers to obtain pricing and update project estimates.
  • Maintain digital records and ensure all documents are accurately organized and accessible.
  • Provide administrative support for pre-construction tasks, including bid tracking and scheduling.
  • Assist with invoicing, billing, and ensuring subcontractor payments are correctly processed.
  • Develop and maintain streamlined workflows to improve operational efficiency.

Qualifications & Skills

  • 3 or more years of experience in office administration, preferably in construction or a related field.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in bookkeeping coordination and familiarity with accounts payable/receivable.
  • Experience with job costing or willingness to learn.
  • Comfortable working independently and taking initiative to solve problems.
  • Proficiency in Google Workspace (Docs, Sheets, Drive) and other administrative software.
  • Ability to collaborate remotely and effectively manage tasks without direct supervision.

Compensation & Benefits

  • Full time, remote position
  • Competitive hourly rate at $8.00 to $10.00 per hour, based on experience.
